How A PR Coordinator Plans Her Week
I’ve always been a very organized person. One of those people whose house doesn’t really look like it’s lived in — that type of organized. But when I stepped into the ACPR office, I realized that there was a different type of organization I now needed to master — planning. It didn’t take long for me to get the hang of what worked for me and what didn’t, so now that we’re a few months in, I’m going to share exactly how I plan for my week.
On Monday morning, we meet to discuss our focuses and assignments for the week. With me I bring my Day Designer and a journal. I start by writing my weekly assignments in my journal, including all of the details for each task, and anything extra that I might forget. I call this my extended task list (and it looks pretty messy). Once everything is written in my journal, I transfer a condensed version of this list to my Day Designer. My planner is what I rely on during the week, so it needs to be clean and organized. But I still like to know that if I ever feel lost or forget a detail, I can always check my journal.
To plan my week, I start by prioritizing my task list and focusing on due dates. The most important thing I do is list each assignment every single day until it’s due. This way I am constantly seeing the task and won’t forget it. Plus, it feels so good to cross off the task if I finish early. During the week, I will come across new tasks or reminders that I need to make note of—even something as simple as responding to an email or following up on a pitch. I make sure to write everything down as it comes, and begin to plan ahead, because I know that future me will be so thankful for the reminder. By the end of the week, my Day Designer should be full of crosses and scratches. It might not look as pretty anymore, but and that’s the sign of a great week.
While there’s no perfect way to plan, I aim for consistency and flexibility over perfection. Once you find a system that works for you, run with it and start crossing those tasks off your list!
